JOB TITLE

Event & Program Coordinator

STATUS:

Non-Exempt, 32 average hours per week (evening and weekend hours required)

SUPERVISOR:

Executive Director

BumbleBee Foundation (BFF), a nonprofit 501(c)3 founded in 2011, with the sole purpose of inspiring hope by providing
support to the overall well-being of pediatric cancer families.

GENERAL JOB DESCRIPTION:

Assist the Executive Director and Advisory Council with event and program coordination.

MAJOR DUTIES AND RESPONSIBILITIES

  • Act as liaison between Advisory Council and Committee Chairs for all BBF programs, events and fundraisers.
  • Develop and maintain event and program pages via our software.
  • Advertise and promote events and fundraisers on BBF social media platforms.
  • Data entry as relates to programs/events.
  • Work with staff to create press releases regarding BBF events and fundraisers.
  • Create and update our online program forms for volunteers and BBF families.
  • Coordinate program distribution from main office.
  • Act as logistics coordinator for BBF events and activities.
  • Oversee event/program volunteer staff.
  • Monitor implementation of program policies and best practices.
  • Reconcile receipts from Holiday Adoption and Spring Basket Program and facilitate donor recognition.
  • Coordinate drop-off and pick-up of fundraising items (ie: silent auction donations/silent auction winning bids).
  • Coordinate volunteer (BusyBEEs) times/activities to assist with fundraisers and events.
  • Assist ED with cultivation and expansion of donor and sponsorship development.
  • Additional duties and responsibility beyond those specified to be added or changed at the discretion of management at any time with or without notice.

REQUIREMENTS, KNOWLEDGE, SKILLS, AND ABILITIES

  • At least two years fundraising event management, preferably in nonprofit sector.
  • Volunteer management experience; ability to supervise, direct, and motivate volunteers.
  • Strong organizational skills. Must be able to manage multiple events, programs and committees simultaneously.
  • Experience in various social media platforms, computer skills (Office 365 – Word, Excel, Outlook, etc).
  • Preference given to individuals with Salesforce experience.
  • Event fundraising platform experience desired (GiveSmart).
  • Passionate about helping pediatric cancer families.
  • Must be self-motivated and able to maintain confidentiality.
  • Must have reliable transportation, a valid California driver’s license and proof of insurance.
